Why is the college moving to Zoom-phone?

The College has used an on-premise Cisco VoIP Solution for over 10 years, which is becoming increasingly complex and expensive to support, making this system more staff-intensive and expertise level knowledge. The new cloud-based voice platform from Zoom, called Zoom Phone, will simplify operations and management, enhance reporting, and improve availability within a secure and compliant environment. The new Zoom phone system will allow the college to utilize the current data network to enhance communication tools collegewide, providing improved student services and more efficiency in our remote workflows.

What is “Zoom-phone”

Zoom Phone works with the Zoom software you've used for meetings and webinars. You can make and receive audio calls from the devices you are already using, including laptops, tablets, and smartphones.

What’s the timeline for faculty/staff to move to Zoom phone?

The Zoom phone migration will be done in phases. Faculty and staff will begin the Zoom phone migration in late January 2024 and end the project in December 2024.  The complete schedule can be viewed here.

When do I get a Zoom phone?

The Zoom app is already installed on your HACC computers. The Zoom app will be the same one you will use for the Zoom Phone. The app will have a feature-rich update with new, convenient functionality to make and receive calls and use the chat feature.

What about my desk phone? Will I still have one?

All remaining Cisco phones will be removed from desks. If a physical phone is required, the hardware must be replaced with a new Poly desk phone model to work with Zoom Phone. For common areas, a physical phone will be installed at each campus.

What will happen to our existing phone numbers?

Existing numbers will be retained and transferred to the new Zoom Phone system.

Will people see my personal number in Caller ID when I use Zoom from my cell phone?

No. If you make a call from the Zoom app on your cell phone, the number that will be shown will be your main HACC campus number. The name on the Caller ID will be your Zoom Profile Display Name. The default will display your full name. The name that shows on the Caller ID will be "HACC" instead of an individual's name.

Will my voicemail greetings and voicemails be transferred to Zoom Phone?

No, unfortunately, voicemail greetings and voicemails cannot be transferred to Zoom Phone. Once you have been switched to Zoom Phone, you will need to record a new personal greeting by following these user settings.

Can I answer a Zoom phone call while in a regular Zoom meeting?

Yes, when you are in a Zoom meeting you will have the option to hold the meeting and answer, end the meeting and answer or ignore the call which will send the caller to voicemail.  You can also change your Zoom settings so that the phone calls don’t interrupt your Zoom meeting or answer the call on your smartphone while continuing the Zoom meeting on your computer.

How do I contact my colleagues who have transitioned to Zoom Phone?

You may dial their 6-digit extension.

Can I use my own headset while using the Zoom App?

Yes.

What Happens if the campus loses power?

If the campuses lose power completely the only way to make emergency calls would be with a cell phone.

What happens if the campus loses Internet access or has a network outage?

Even if the network is down, you can still make emergency calls to 911 using any Zoom desk phone or soft phone with the help of Zoom's local survivability hardware

Will the phone ring when faculty are holding Zoom classes or meetings? 

You will have the ability to disable or hide incoming calls while in a Zoom meeting.

You will also have the ability to manually enable Do Not Disturb and disable it as well. If DND is enabled, all calls will go to voicemail, or whatever the treatment will be for the call not answered.

Will there be a way to get to voicemails without logging into a computer?

Your voicemail can be sent to email or cell phone app. If using a desk phone, you can dial *86 and enter your voicemail PIN to check voicemail. 

Will I be able to use Jabber IM after my phone is migrated to Zoom-Phone?

 Yes, until everyone has moved to Zoom phones and jabber is decommissioned.

Can you add multiple holiday dates?

Yes.

Will callers get notified if the call is being recorded?

Yes, when the record button is pressed, all parties are notified that the call is being recorded.

Do we have to have the Zoom app "open" on our phone in order to receive incoming calls?

No, calls will come in regardless.  You can decide how you want the calls handled in the Zoom Call Handler here.

Will you be providing how to set up Zoom Phone on a mobile device?

The Zoom app is available from the Apple Store and Google Play Store.  Installing Zoom's Mobile App

Many of us are 9.5 month employees.  Do we use the holiday settings to leave a voice message stating we are not on campus during the summer?

Yes.

Are we able to enable captioning on Zoom Phone or meetings?

We have auto log-in on Cisco Jabber.  Are we able to enable auto log-in with Zoom as well?

Yes, Zoom can be set to auto log-in via the following instructions:

  1. Sign into the Zoom Desktop Client 

  1. Click your profile picture, then click Settings 

  1. Click General  

  1. Click the Start Zoom when I start Windows check box
